Who provides all the equipment for an event?

Event branding covers perimeter boards, banners, flags, roll-ups, backdrops and large-format printing, plus crew clothing and promotional material. Which material and printing method we use depends on where the finished item will end up — an indoor setting has different requirements from an outdoor one. Formats are almost freely selectable. As a rule of thumb, allow a few weeks from print approval.

What event branding covers

The visible part is the advertising space: perimeter boards along the pitch, banners and flags, roll-ups at the entrance, backdrops for interviews and photos. Added to this is large-format printing in every size — from window graphics to large-scale banners.

The second part is what people wear: crew and volunteer T-shirts that allow visitors to see straight away who can provide information. Combined with promotional material and merchandise, this creates a consistent look.

There are virtually no limits on formats — whatever you need can usually be produced.

Plan for lead times realistically

The critical stage is rarely production, but rather approval. Once the material is ready for printing, the process gets underway — the weeks leading up to that are taken up with design, negotiations with sponsors and rounds of proofreading.

As a rule of thumb, you should allow for a few weeks from the date of approval; for a complete set-up including textiles, allow a little longer, as finishing and delivery times will need to be factored in.

The biggest time-waster at events is sponsors who confirm their participation late. If you plan the advertising space in such a way that individual elements can be added later, you won’t lose any time as a result.

What you should clarify beforehand

How long should the material last — just for this occasion, or for several seasons? The choice of material depends on this; a reusable banner is constructed differently from a single-use one.

Where will the item be used? The location determines the material and printing method: for outdoor use, we need weatherproof materials and UV-resistant inks, as well as more robust construction — hemmed, eyeletted, reinforced, and with wind slits for large surfaces. For indoor use, on the other hand, appearance and weight are the main considerations.

And finally: Who’s going to set it up? We’ll take care of some of the set-up and dismantling; it’s best to sort this out early on so that you don’t have to organise it yourself at short notice.

Buying rather than renting

We deliberately do not stock items for hire — all items are purchased and then become your property.

For recurring events, this is usually the better option anyway: if you design your materials to be neutral – that is, without a specific year – you can use them across several editions. Only the elements featuring changing sponsors or dates need to be produced anew.
